Public registration

AM System offers a feature that allows customers outside the system to register deviation cases, providing flexible handling to suit your and your customers’ needs.

Background

For customers without their own user accounts, AM System offers the Public Registration function. This feature provides a public HTTP link that can be shared via email or a website, allowing anyone with access to the link to register cases without needing to log in.

One purpose of the Public Registration function is to enable anonymous case registrations, such as for whistleblowers. When a case is created via Public Registration, the creator’s name does not appear in the log, as this information isn’t available through the public link. Only cases created through the public link remain anonymous; cases created by logged-in users will log the creator as usual.

❗Important Considerations for Public Registration:

  • The person registering a case via Public Registration only has access to the first section of the form; other sections are hidden.
  • Once the case is registered, the user cannot view or modify the submitted case.
  • The creator of cases made via Public Registration is listed as Addon - Public Registration. However, you can design the form to allow users to provide contact information if desired.

How to Set Up

Install the function in the form via Advanced » Automate & Integrate » Addons » Public Registration. A unique link to the form is created, and during installation, you can write a message that will be displayed in the browser to the person registering the case.

Don’t forget to save the form to apply your changes!

Language Settings

Set the default language for the form under the Settings tab. This determines the language displayed during public registration. Read more

Post-Registration Message

You can add a message to be displayed in the browser after someone registers a public case. This is also configured under Advanced » Automate & Integrate » Addons » Public Registration.

💬 Tip: While it’s not possible to change the public registration link within the system, you can present the link more user-friendly by creating a QR code or using a URL shortener.

Ensure that any services used are reliable to prevent security issues.
