How to Use the Share Case Publicly Feature

The Share Case Publicly feature in the Case module allows you to share a link to a specific case externally, enabling recipients to view the case content without logging into the system.

Please note: This feature, along with Public registration, is an option included in certain pricing plans, but can also be purchased separately.

Background

The Share Case Publicly addon enables users to manually share a link to a specific case outside the site. Recipients can visit the link to view the case content. However, the sharing must be done manually by a user with access and cannot be automated.

❗Important: This function only allows reading a specific case. To edit the case, the user must be logged into the system.

How to Activate the Feature

Before you can share a case publicly, the feature must be activated in the relevant form. Navigate to Case » Settings, select the desired form, then go to the Advanced menu and choose Addons. Don’t forget to save the form to apply your changes!

Who Can Share a Case

Since incorrect sharing of a case can have serious consequences, an administrator must first grant users the ability to share a case publicly. This function is activated per profile in the specific form. Navigate to Administrator » Profiles, select the profile, and adjust the settings accordingly.

Note: Users who are administrators in the Case module have the ability to create a link by default, provided that the form has the Share Case Publicly addon installed.

How Users Share the Case

Users with the appropriate permissions can share a case by accessing it (e.g., by searching for the case) and clicking the Share Case Publicly icon to generate the link. The link can then be shared with the recipient, for example, via email.

❗Important: The case will be displayed to the recipient in the language it was created in. For instance, if the case was created by a user with Swedish as their language, it will be displayed in Swedish. If the case was created via public registration, it will be displayed in the default language set in the form.
