Link to an existing Case

This article describes how to create what is known as a permalink to an existing case. This link can then be used to share the relevant case from other services, such as an intranet.

Introduction

The purpose of this feature is to provide a straightforward means of linking to and referencing existing cases from other services, such as an intranet or via email. Instead of instructing the user to "Go to the AM System and search for Case #FF1 in the Improvement Proposal form," you can now offer a link that takes the user directly to the relevant case.

Note: This feature should not be confused with the Share case publicly function, which allows a case to be shared with a recipient who does not have a user account in the system.


The link requires the recipient to have a user account in the AM System and to have access to the specific case. If the user is logged into the AM System when they click on the link, they will be directed immediately to the case. If the user is not logged in, they will be prompted to log in to access the case directly. If the user does not have access to the linked case, they will encounter an error message stating: The case can not be reached.

How to Copy a Link

To copy a link to an existing case, first navigate to the case you wish to link to. Then, click on the link icon located in the case menu.

After that, you can use the icon to the right of the link for easy copying (or select the link and choose "Copy" via your web browser). Finally, you can paste the link into the service or function you wish to use.

Keep in Mind... 

  • All users who have access to a case can also copy the link to that specific case. However, the recipient must be logged into the system and have access to the case in order to read it.
  • Each time a user clicks on a permalink that leads to the AM System, a new tab or window will open with the specific case. This may result in the user having multiple tabs or windows open with the AM System simultaneously. Therefore, avoid creating a "link library." If you wish to link to multiple cases, it might be better to link to a document with saved search queries instead.
  • It is not possible to create permalinks for registering new cases.
  • The final digit in the link refers to the sequential number the case has in the specific form. In other words, if you have enabled the Global case numbers feature, the final number in the link will not correspond to the case number.
