5.1 Search in Case Management |
AM System's search engine simplifies and accurately directs you to the specific documents you are seeking. Every piece of metadata associated with a document is searchable, making it easy for you to navigate to the documents you need.
AM System aims to help you create a management system where no one has to struggle to find what they need. It should be easy to do the right thing, allowing you to efficiently locate the exact document or documents required in any given situation.
A well-structured category tree, combined with the system’s global document settings, is designed to provide the best possible conditions for finding exactly what you need. In this guide, you will learn how the Query Builder for Documents works, which is fundamental for effectively working with Layout Documents moving forward.
Additionally, if you want to gauge how well your management system is communicated and accepted, we recommend actively utilizing the Reading Receipt feature. This function ensures that your employees have received and understood the latest versions of procedures, instructions, and any other documents relevant to them.
Create, save, and share smart search queries
All metadata associated with a document enhances its searchability. When combined with AM System's simple yet powerful search engine, along with thoughtful category management, keywords, and additional fields, this forms the foundation of your inclusive and intuitive management system.
Just like in Case Management, you can easily choose to combine metadata in a Standard Search, as well as create precise queries in Advanced Search.
By allowing you to save search queries and share them with others, AM System enhances collaboration, enabling more members of your organization to contribute effectively.
Tip:
Searching does not have to be limited to the search function in the toolbar; instead, it can be more effectively performed through Layout Documents. In Layout Documents, you can create predefined searches for users, resulting in a more intuitive and value-adding management system. This utilizes the same search engine but presents it in the form of links from objects. By understanding how to search for documents using the Query Builder, you lay the groundwork for working even more efficiently within Layout Documents. Good luck!
Reading Receipts
By implementing a thoughtful approach to the Concerns section in documents and activating Reading Receipts, your employees can easily understand which governing documents they need to engage with. Additionally, those responsible for assessing how well the management system is communicated and accepted can use Reading Receipts as an effective gauge. If your organization is receptive, this information can provide valuable insights into how effectively you are communicating your management system.
With Reading Receipts, you have the opportunity to follow up and demonstrate that the right users possess the necessary knowledge to perform their designated tasks. Isn't that great?
The articles below are designed to provide you with foundational knowledge on how to conduct searches within documents. You'll also learn how members of your organization involved in the development of your management system, as well as those responsible for your processes, can easily monitor how processes and documentation are accepted by relevant employees.
